10 Candidate Management Software Tools Reviewed for 2026
Seven of the ten candidate management platforms reviewed below publish a price you can read without booking a call. Greenhouse, Teamtailor and Tellent Recruitee do not. That split matters more than any feature list, because the hidden variable in this category is not capability, it is what happens to your bill when hiring volume rises. Every price here was taken from the vendor's own pricing page and checked on 17 September 2026.
Quick Answer
Candidate management software tracks applicants from application through to offer in one system. Published 2026 pricing ranges from free tiers at Breezy HR and Zoho Recruit to $599 a month and above at Workable. Greenhouse, Teamtailor, Tellent Recruitee and Ashby's larger plans quote on request. Check job and seat caps before comparing headline prices.
What Is Candidate Management Software?
Candidate management software is the system that holds every applicant record, moves people through defined hiring stages, and keeps communication, feedback and decisions in one place rather than scattered across inboxes and spreadsheets. In practice it overlaps heavily with what the market calls an applicant tracking system.
The distinction some vendors draw is one of emphasis. Applicant tracking is the workflow and compliance layer. Candidate management extends that to relationship work: talent pools, rediscovery of past applicants and the careers site that brings people in. Most modern platforms do both, so treating them as separate purchases is usually a mistake.
The category matters more in 2026 than it did five years ago because of volume. Gem's 2026 Recruiting Benchmarks Report, based on 165 million applications and 1.2 million hires, found that only 8% of applicants advance past initial screening and just 0.5% reach an offer, roughly one hire per 200 applications. Managing that ratio manually is not realistic. For the wider process view, see our complete guide to candidate management.
What to Look For in Candidate Management Software
- Job and candidate caps. Several entry plans cap active jobs at one, five or ten. If you run more searches than that, the advertised entry price is not your price.
- Seat model. Per-user pricing punishes you for involving hiring managers. Flat or workforce-based pricing does not.
- Screening automation. With application volumes where they are, manual first-pass review is the bottleneck. Check whether AI screening is included, metered by credits, or an add-on.
- What sits behind add-ons. Texting, video interviews, assessments, e-signatures and onboarding are commonly separate line items. Price the bundle, not the base plan.
- Data portability. API access and export are gated to higher tiers on several platforms. Confirm you can leave before you arrive.
- Compliance coverage. GDPR tooling, EEOC and OFCCP reporting and audit logs vary enormously by tier.
- Renewal behaviour. Plans priced on headcount reprice as you grow. Ask what the increase looks like at double your current size.
The Best Candidate Management Software in 2026
A disclosure before the list: we build Klearskill, so treat our own entry with appropriate scepticism. Every competitor price below came from that vendor's own published pricing page, and where a vendor does not publish a price we say so rather than guessing.
1. Klearskill
Best for: teams whose screening volume is outgrowing their budget.
Klearskill is an applicant tracking system built around unlimited AI CV screening rather than seat count. The Starter plan is $10 a month for a single user seat, and that $10 covers hosting and storage only. You connect your own OpenAI, Anthropic, Gemini or OpenRouter account and pay your AI provider directly, at pennies per CV screened. Active jobs, candidates, CV storage and CVs screened are all unlimited on that arrangement.
The Pro plan is $50 a month flat with AI included and no external AI account needed, covering unlimited users on your company domain, up to 10,000 CVs screened per month as a fair-use cap, admin and roles management, priority support and advanced analytics. Connecting your own AI key removes the cap. Both plans include the full ATS, a branded careers page, talent rediscovery, AI candidate scoring, candidate insights with red flag detection and custom AI preferences.
The honest weakness is maturity. Klearskill is a newer product than Greenhouse or Workable, the integration ecosystem is smaller, and the Starter plan asks you to set up an AI provider account, which is a step some HR teams would rather not take. If you need a deep marketplace of pre-built HRIS and assessment integrations today, the incumbents are further ahead.
Pricing: $10 a month Starter, $50 a month Pro, free trial covering one job and 25 CVs with no card required. See Klearskill sign-up. Standout feature: unlimited jobs, candidates and CV screening at a price that does not move when hiring volume does.
2. Workable
Best for: teams that want a published price and broad job distribution.
Workable is one of the few platforms here that puts real numbers on a public page. Standard is $299 a month billed monthly, or $3,588 a year, for organisations of 1 to 20 employees, with the price stepping up through nine employee bands. Premier is $599 a month and Enterprise $719 a month at the same starting band, both billed annually. All three include unlimited active jobs subject to fair usage limits, distribution to over 200 job boards and a sourcing suite.
The catch is the add-on structure on Standard. Texting is an extra $89 a month, video interviews $109 a month and assessments $59 a month, all of which are included on Premier. Workable's AI agent runs on credits priced between $0.095 and $0.12 each depending on bundle size, with 1 credit per candidate screened, 2 per passive candidate sourced and 10 per chat interaction.
Pricing: from $299 a month, verified on Workable's pricing page. 15-day free trial, no card required. Standout feature: transparent employee-band pricing with the whole ladder visible before you talk to sales.
3. Greenhouse
Best for: structured hiring at enterprise scale.
Greenhouse sells three tiers, Core, Plus and Pro, and the feature table on its pricing page is unusually detailed even though no prices appear on it. Core covers sourcing and CRM, structured interview kits and scorecards, an AI notetaker, scheduling, reporting and single sign-on. Plus adds sourcing automation, texting, a BI connector, AI report filters and fraud detection. Pro adds enterprise governance: audit logs, a developer sandbox, configurable session time-outs and resume anonymisation.
That gating is worth reading closely. Fraud detection and identity verification sit on Plus and above, which matters given how much AI-generated application volume teams are now fielding. Resume anonymisation is Pro only.
Pricing: on request. Greenhouse states cost depends on plan, hiring volume and organisational complexity. See Greenhouse pricing. Standout feature: the most thoroughly documented structured hiring workflow in the category.
4. Ashby
Best for: analytics-led talent teams.
Ashby combines ATS, CRM, scheduling and analytics in one product, and its reporting depth is the reason most teams move to it. The company also publishes an unusual amount of its own benchmark data.
Pricing splits at the 100-employee mark. Below that, the Foundations plan is priced on total workforce size across five bands, and the pricing page showed $400 a month for the up-to-100 employee band when checked in September 2026, with a 10% discount for annual commitments and emerging market pricing available. Above that, Ashby moves to seat-based pricing; its own billing documentation uses $795 per user per year as the worked example. Hiring managers with open roles need paid seats, whilst limited access and agency users are free.
The weakness is straightforward: seat-based pricing gets expensive if you want every hiring manager fully in the system.
Pricing: Foundations from a published workforce-band price, seat-based above 100 employees. See Ashby pricing and Ashby's seat-based pricing documentation. Standout feature: analytics that answer capacity questions rather than just reporting stage counts.
5. Tellent Recruitee
Best for: European mid-market teams with strong compliance needs.
Recruitee, now part of Tellent, sells Start, Advance and Optimize plans to over 7,000 hiring teams. Start is capped at five active job posts and includes a single-page careers site, multi-board posting, pipeline automation, 200-plus integrations, unlimited data storage and API access. Advance lifts the job cap entirely and adds referrals, knockout questions, workflow automations, self-scheduling, offer letters and advanced reporting. Optimize adds single sign-on, requisition approvals, fairness tooling, BI integrations and a dedicated customer success manager.
The AI allowances are the detail to watch. Advance includes 100 screening credits a month and three matching searches; Optimize gets full screening functionality and 65 searches. If AI screening is central to your process, Advance will run out.
Pricing: on request, tiered by plan, employee count and billing period, with a 20% annual discount and a minimum one-year commitment. See Tellent Recruitee pricing. Standout feature: genuinely strong European localisation, with multi-language careers sites and GDPR automation built in.
6. Teamtailor
Best for: employer branding and careers site quality.
Teamtailor is the platform most often chosen for how the candidate-facing side looks. It reports more than 13,000 companies across over 90 countries, more than 250 features and over 450 integrations, and its pricing page makes a specific promise that several rivals do not: unlimited job postings and unlimited users, with customer support for all users.
The trade-off is that you cannot price it yourself. The pricing page is a quote request form with no tiers published, which makes budgeting harder than it needs to be.
Pricing: on request. See Teamtailor pricing. Standout feature: unlimited users and unlimited job postings stated on the pricing page itself.
7. JazzHR
Best for: small US businesses that want a fixed annual number.
JazzHR publishes three annual prices with nothing hidden behind a form. Hero is $1,000 a year and starts at three job postings a month with the core ATS, email templates and LinkedIn Recruiter integration. Plus is $3,480 a year and covers up to 200 active jobs, AI-powered candidate matching, structured interviews and assessments, configurable task automation and standard reporting. Pro is $5,508 a year and adds offers and e-signatures, advanced visual reporting, a custom report builder and all-access support.
The honest weakness is that offers, e-signatures and advanced reporting are add-ons below Pro, so the plan most small teams would instinctively pick may not include the closing tools they need. JazzHR also applies consumption-based pricing to some add-ons, which makes the total less predictable than the headline suggests.
Pricing: $1,000 to $5,508 a year, verified on JazzHR's pricing page. Standout feature: three fixed annual prices with a clear feature ladder between them.
8. Breezy HR
Best for: teams that want a real free tier before committing.
Breezy's Bootstrap plan is free forever with unlimited users, one active position or candidate pool at a time, a branded career site, distribution to over 50 job boards and GDPR tooling. Startup is $157 a month on annual billing or $189 monthly and lifts the position cap, adding candidate automations, questionnaires, self-scheduling and video interviews. Growth is $273 a month annual or $329 monthly and adds scorecards, interview guides, reference checking and multiple pipelines. Business is $439 a month annual or $529 monthly and adds offer management, approvals, HRIS integrations and candidate nurture campaigns.
Watch the add-ons: Breezy Intelligence credits start at $30 per 100,000, SMS from $41 a month and onboarding workflows from $49 a month, none of which are in the plan price.
Pricing: free to $439 a month on annual billing, verified on Breezy HR's pricing page. 14-day full-feature trial. Standout feature: unlimited users on every plan, including the free one.
9. Manatal
Best for: agencies and lean teams comfortable with per-user pricing.
Manatal is the cheapest per-seat option here with published prices. Professional is $15 per user per month billed annually, or $19 monthly, and includes 15 jobs and up to 10,000 candidates. Enterprise is $35 per user per month annually, or $39 monthly, with unlimited jobs and candidates plus workflow automations. Enterprise Plus is $55 per user per month annually, or $59 monthly, adding user groups, single sign-on, API access, priority support and beta features. Hiring managers are unlimited on all tiers.
The structure suits agencies well. The weakness is that the entry tier's 15-job cap arrives quickly for an in-house team, and API access does not appear until the top published tier.
Pricing: $15 to $55 per user per month on annual billing, verified on Manatal's pricing page. Standout feature: unlimited hiring manager access at every price point.
10. Zoho Recruit
Best for: companies already running the Zoho stack.
Zoho Recruit offers a free forever tier plus Standard and Enterprise plans, sold per recruiter licence in separate Corporate HR and Staffing Agency editions. The gate to watch is active jobs per licence: one on Free, ten on Standard and twenty on Enterprise. Standard adds candidate sourcing, premium job boards, a branded careers site, employee referrals, assessments and over 50 integrations. Enterprise adds AI candidate matching, candidate and staffing portals, recruitment automation, advanced analytics, field-level security and SMS.
Prices render dynamically by currency on Zoho's page rather than as static figures, so use their calculator for a firm number. Zoho offers a 15-day trial and a 45-day money-back guarantee, the most generous refund window here.
Pricing: free tier available, paid plans priced per recruiter licence. See Zoho Recruit pricing. Standout feature: deep integration with the rest of the Zoho suite if you already use it.

How to Choose the Right Candidate Management Software for Your Team
How many roles will you have open at once? This single question eliminates half the list. Free and entry tiers at Breezy, Zoho Recruit and Tellent Recruitee cap active jobs at one, one per licence and five respectively. Manatal's Professional tier stops at 15. If you run more than that, price the tier above and ignore the headline.
Who needs to be in the system? If hiring managers only leave feedback, per-seat platforms may be fine, since Ashby, Manatal and Teamtailor all offer free or unlimited access for some user types. If you want everyone working in the tool, unlimited-user pricing costs less as headcount grows.
Where does your volume actually hurt? If it is first-pass CV review, prioritise screening automation and check how it is metered. Credit-based AI billing at Workable and allowance-based screening at Tellent Recruitee both scale with volume, which is exactly when budgets get tight. Our breakdown of what an AI ATS actually costs in 2026 covers the pricing models in more detail.
Can you live with a quote-only vendor? Greenhouse, Teamtailor and Tellent Recruitee will not give you a number without a conversation. That is workable for a planned procurement and frustrating for a small team trying to make a decision this week. If you want a structured way through it, our 12-point checklist for choosing an AI ATS and our ATS implementation guide cover selection and rollout.
Frequently Asked Questions
What is the difference between candidate management software and an applicant tracking system?
In 2026 the two terms describe largely the same product. Applicant tracking emphasises workflow and compliance, whilst candidate management emphasises relationships, talent pools and rediscovery of past applicants. Every platform in this review does both, so treating them as separate purchases usually means paying twice for overlapping capability.
How much does candidate management software cost?
Published prices in this review range from free tiers at Breezy HR and Zoho Recruit to $599 a month and above at Workable. Manatal starts at $15 per user per month on annual billing, JazzHR at $1,000 a year, Breezy at $157 a month annually and Klearskill at $10 a month. Greenhouse, Teamtailor and Tellent Recruitee quote on request.
Is there genuinely free candidate management software?
Yes, with caps. Breezy HR's Bootstrap plan is free forever with unlimited users but one active position or candidate pool at a time. Zoho Recruit's free tier allows one active job per recruiter licence. Both are usable for occasional hiring and both will constrain you quickly once you run several searches at once.
Why do so many vendors hide their pricing?
Because they price on variables that differ per customer, typically employee count, hiring volume and feature scope. Greenhouse states directly that cost depends on plan, hiring volume and organisational complexity. The consequence is that you cannot compare quote-only vendors against published-price vendors without a sales process for each.
Which platforms do not cap active jobs?
On the plans reviewed here, Klearskill includes unlimited active jobs on both plans, Workable includes unlimited active jobs subject to fair usage limits, and Teamtailor states unlimited job postings on its pricing page. Tellent Recruitee and Manatal lift their caps on the tier above entry level, whilst Zoho Recruit caps active jobs per recruiter licence on every tier.
How should a small team evaluate these tools?
Start with the number of roles you will have open simultaneously and the number of people who need access, since those two constraints rule out most options immediately. Then price the add-ons you actually need, not just the base plan. Finally, use the free trials before committing to an annual contract.
Screen Every CV Automatically, From $10 a Month
Most of the platforms above charge more as your team or your hiring volume grows. Klearskill gives you unlimited active jobs, unlimited candidates and unlimited AI CV screening from $10 a month, where you connect your own OpenAI, Anthropic, Gemini or OpenRouter account and pay pennies per CV to your provider, or $50 a month flat with the AI included and unlimited users on your company domain. Try it on one job and 25 CVs with no card required at Klearskill.
